Questions: Explain how the modular components and process work?
Answer: Over 25 integrated modules are available. Each of the individual solutions includes approximately 7 modules, which can fully interact and communicate with the other available modules. First, we complete a comprehensive needs analysis wherein we will also develop a requirements document. Second, we configure a prototype system and launch with the requirements defined. Third, we test it with you and ensure it accomplishes everything you need. Fourth, we make any necessary adjustments. Fifth, you achieve results.
Question: How do the alerts and notifications function?
Answer: Alerts and notifications can be assigned on the fly from just about every module. Notifications can also be distributed via email when specific modifications are made to the system – whether a certain item is added or a particular report is completed. Even In-Work Items and Corrective Actions are assigned, delivered, completed, and tracked through the system ensuring accountability.
Question: Does implementation take forever?
Answer: Implementation timeframes will vary depending on your needs. Our clients have been fully functional in 1 week to 4 months. Using a standard solution configured to your needs usually takes only a few weeks, while more “customized” solutions requiring extensive development will obviously take longer. Our modular platform has proven quite beneficial in speeding implementation and accommodating budgeting by allowing our clients the opportunity to launch the most critical modules first then they incorporate additional modules as internal requirements permit.
Question: My Information Technology folks will want to know how it works with our current systems.
Answer: Our clients have found we become an invaluable extension of their IT group – no matter how comprehensive a team they already have in place. In fact, the system can be run completely through the internet on an ASP model; however, one of our key benefits is the flexibility of the server setup. Run your solution on our secure server, on a dedicated server at our data warehouse or on your own servers. Each provides different benefits. Additionally, our solutions are built on the latest development and database technologies that readily integrate with most technology solutions in use today. In the end, our clients find it would cost them 3 to 9 times as much to setup and run a similar system.
Question: Will we be spending innumerable hours in training?
Answer: One of the most invaluable benefits of our system is the ease of use. Since it is built around your processes, procedures, and forms, all you really need to learn is where to click and about the enhanced functionality. Additionally, our “3 click” development methodology aims to reduce any component to less than 3 mouse clicks and has each module designed the same way. So, once you understand the added feature layout for one module, you just follow procedures you have been doing for years or take advantage of the enhanced functions that make it even more user friendly.
Question: What forms are available and can be automatically completed?
Answer: OSHA compliant forms, including but not limited to, 300, 300A, 301, 101 and 200, are available. Regulatory and internal forms can be added and automatically populated to meet your specific needs.
Question: What if I have historical data I want to put in the new system?
Answer: Any historical workers compensation, injury and incident reporting, or claims data can be imported and/or catalogued to use for benchmarking and/or trend and analysis purposes.
Question: Will this integrate with my workers comp system?
Answer: Our solution is built using the most current development platforms and readily integrates with other systems. Either through simple, automated import/export functions or through complete system intercommunication, we can help you realize the benefits of leveraging state-of-the-art technology.
Questions: Explain how the Support Team helps with configuration?
Answer: First, your dedicated Implementation and Support Team will complete a thorough analysis of your processes, procedures, and regulatory requirements. Second, a requirements document will be completed to detail each relevant component of this highly flexible system and what end products, reports or forms you require. Third, we set up and adjust the system to meet all requirements…even creating reports in the format you want and making available pertinent forms. Fourth, you test the system to make sure it meets your specific needs. Fifth, the Implementation and Support Team works with you throughout the training, support and monthly maintenance to insure results.
Question: Can I pull specific data or reports as I choose?
Answer: Comprehensive reporting functionality is built in to the system and is configured to your specific needs. You can search and filter any parameters defined in the system …. date, project, location, individual, manager, etc. You can also take advantage of the Analytical and Dynamic reporting modules to have reports configured to meet your already proven procedures. In addition, predefined reports can be automatically distributed when you choose.
Question: Flexible is a nice word… what can you really do?
Answer: We have structured and standardized forms and reports, but no two businesses are exactly alike. So, our state-of-the-art technology enables us to adapt and change every module, form and report to fit your processes and requirements. Want to use an existing form….no problem.
Question: How does this really work for my employees in the Field?
Answer: Simple really – 1) we automate the forms and processes they already have; 2) use the Windows-based mobile device of their choice to review project, company or contact information, receive alerts and notifications, collect data, including photos and sound bites, assign tasks, and complete reports; 3) make changes later to the same report if they like; 4) synch when they choose – no need to be connected to the system to utilize all functions; 5) enjoy better performance.
Question: We tried something like this before and it just didn’t work out…why will your system work?
Answer: First, your dedicated Implementation and Support Team will be with you from defining and configuring the system through training, monthly support and maintenance. Second, the tools are adapted to your processes, procedures, forms and reports so the learning curve is significantly reduced. Third, each individual can use the mobile device they choose. Fourth, your Field staff does not have to be connected to the system to have full access to pertinent information and to do their work….sync when you have access to the web or network.

Questions: How can we securely access all the “centralized” data from our many locations?
Answer: The proprietary software design enables the system to be available either through a true ASP model, on a dedicated server in our server facilities or on your server. Whatever option works best for you....works for us. In addition, the structure enables you to set permissions down to the individual including which modules and projects are available and at what level of access they can have. The key component is that we become part of your Team no matter how you choose to implement the solution. The Project Implementation and Support Team assigned to you will provide ongoing maintenance and support. Even down to how we help with configuration, will help protect the integrity of your data.
Question: I want to roll this out in phases – do I have to purchase the entire system when I am not using it all?
Answer: We were waiting for this question! Only roll out and pay for what you need, fits the budget or is practical at the time. Our modular structure enables you to implement components as it suits your organization’s requirements. All the data will remain intact and will instantly integrate with modules as they are added. Question: Can we incorporate information we already have?

Question: Do you provide expertise to administer my OCIP?
Answer: eSafety Systems partnered with TIGAR Ventures to create the ACES system. It was designed with one purpose - to enable Owners to realize all the benefits of an OCIP. TIGAR has the exertise to not only help you take advantage of the ACES system, but to handle the actual WRAP administration as well.
Questions: What are the differences between the 3 OCIP solutions?
Answer: Each OCIP project is different – from the companies involved, to the coverage, to the in-house administrative expertise, etc. Each solution and the corresponding modules were created to accommodate the diverse needs of your OCIP. In addition, your dedicated Implementation and Support Team from eSafety and the TIGAR Venture consultants will help you configure the optimum solution and provide the additional WRAP functions you might need.
Question: Does the OCIP solution cover me legally?
Answer: The ACES comprehensive tracking and management functions meet regulatory requirements for OCIP’s while providing archive functions to meet your long-term legal obligations. Of course we don’t replace your own legal counsel, but with TIGAR Ventures, those services can be provided as well.
